User Data Deletion

Overview

We respect your right to request deletion of personal information we hold about you. When we receive a valid request, we will delete or anonymise your data from our systems in accordance with applicable Indian data protection laws and our Privacy Policy, subject to the exceptions described below.

What We Delete

Upon a verified request, we may delete or anonymise the following categories of data, where held by us:

• Contact details submitted via website forms (name, email, phone, company, message)
• Lead records created from Facebook / Instagram Instant Forms and related ad leads
• CRM profile and activity notes linked to your contact record
• Marketing communication preferences associated with your email or phone
• Account or login identifiers for products where you are the data subject and deletion is technically feasible

How to Request Deletion

To request deletion of your personal data, send an email to our privacy contact with the subject line “Data Deletion Request” and include:

• Your full name
• The email address and / or phone number used when you contacted us or submitted a lead form
• The Facebook / Instagram Page or form name, if the request relates to Meta lead ads
• Any other detail that helps us locate your records

We may ask for additional information to verify your identity before processing the request. This is to prevent unauthorised deletion of someone else’s data.

Meta (Facebook / Instagram) Lead Data

If you submitted information through a Facebook or Instagram lead ad form connected to a Codetrex Page or a Codetrex-managed CRM integration, that lead may be stored in our systems. You can request deletion of that lead data using the process above.

Deleting data from Codetrex systems does not automatically remove copies held by Meta Platforms, Inc. To manage or delete data held by Meta, use the settings and tools available in your Facebook or Instagram account, or Meta’s own privacy / data deletion channels.

Processing Timeline

• We aim to acknowledge deletion requests within 7 business days.
• We aim to complete deletion or anonymisation within 30 days of verifying the request, unless a longer period is required by law or technical constraints.
• You will receive a confirmation email when the request has been completed, or an explanation if we cannot fully delete certain records.

Exceptions

We may retain certain information where we have a lawful reason to do so, including:

• Records required for tax, accounting, audit, or regulatory compliance
• Data needed to establish, exercise, or defend legal claims
• Information retained under a separate contract with a business customer (where that customer is the data controller)
• Security logs and fraud-prevention records kept for a limited period
• Backups that are rotated on a fixed schedule and are not actively used for processing
